The rooming list for your business events

It's the list of rooms sent to the hotel before the group arrives: who sleeps where, in which category, with which room number. On an event platform, this rooming list is built from registrants and updates with every new room assignment.

Attendees choose their own category and roommates on a dedicated page, and you handle special cases from the back office. You only produce an Excel rooming list when it's time to send it to the hotel, with only the fields the property needs.

Yes. Each attendee adds their roommates via a photo directory or an email search, depending on the event's settings, then confirms their accommodation. As long as the room isn't full, they can add more roommates.

Yes. MICE, DMC, and TMC agencies manage group hotel bookings for their clients: multiple hotels, categories reserved for certain profiles, group room assignment, and export by property. All from the account that already holds the registrations.

From the contact's profile, add them to a room that isn't full or create a new room with the attendees of your choice. Assignment also works from the room list, by searching name or email. Once the person is assigned, you can send them a summary by email directly, with the hotel address, the room selected, and the information they need for check-in.

Each room category is reserved for a segment of attendees. Your speakers are offered suites, your attendees standard rooms, their guests doubles. No one sees a category they're not entitled to, and you don't have to make case-by-case decisions.

Data is hosted in the European Union. Digitevent is ISO 27001 certified and GDPR compliant. The file sent to the hotel only contains the fields selected at the time of export.

Room assignment tracking answers this continuously:

• how many attendees are housed, and how many are still waiting
• which categories are full and how many beds are still free
• which rooms haven't received their number yet

You adjust your booking with the hotel before the cancellation deadline, not on the day it bills you for empty rooms.
