I. Who we are

DIGIT EVENT SAS, a simplified joint-stock company (SAS) with share capital of 900 euros, registered with the Paris Trade and Companies Register (RCS) under number 798034344, whose registered office is located at 36 rue Vivienne, 75002 Paris (hereinafter "Digitevent"), publishes the showcase site www.digitevent.com and develops a SaaS event management "Service" for Organizers. This policy covers only the data processed via the showcase site (browsing, contact, demo or quote requests, chat, audience measurement), that is, before any subscription to the Service.

II. Legal basis (GDPR)

The GDPR requires us to inform you of the legal grounds we rely on to process your personal data; these will generally be the following:

  • You have given your consent (e.g., placing of audience measurement cookies);
  • Processing is necessary for pre-contractual steps carried out at your request (e.g., getting in touch, requesting a demo or a quote);
  • Processing is necessary to comply with our legal or regulatory obligations; and/or
  • Processing is in our legitimate interest as an event management platform (for example, to protect the security and integrity of our systems and to respond to your requests).

III. Personal data collected on the showcase site

1. Data you provide to us

We collect the data you provide when we correspond in connection with business inquiries, for example through the contact form or a demo/quote request: including, without limitation, your last name, first name, email address, company, and the content of your message. If you use the conversational chat, we keep a record of the exchange with our team.

2. Technical data

We may automatically collect certain technical data sent by the computers used to access the site (for example, without limitation: information about your access device, your browser, or your IP address).

3. Cookies and audience measurement

The site uses cookies and trackers whose applicable rules and consent management are detailed in our Cookie Policy.

4. Minors

We do not knowingly collect personal data from children under fifteen (15) years of age.

IV. Purposes

Your data is used to: respond to your contact, demo, or quote requests; meet our marketing and advertising needs (where this complies with your preferences); improve the site; and ensure the security and integrity of our systems. When we send you marketing communications, you can unsubscribe at any time by clicking "unsubscribe" at the bottom of the emails.

V. Storage and security

Personal data is hosted on Amazon Web Services servers located in the European Union. Digitevent implements appropriate technical and organizational measures to protect your data, as part of its information security management system, certified ISO/IEC 27001. Since no system is entirely foolproof, however, we cannot guarantee absolute security.

For any request regarding our security or our certifications, our team can provide you with the relevant documents.

VI. Retention period

Data relating to prospects and contacts is kept for 3 years from your last contact (or from the end of the business relationship), unless a longer legal retention period applies. After that, it is deleted or anonymized. Even after deletion, your personal data may temporarily remain on our backup media for the duration of a backup cycle, before being permanently erased.

VII. Processors and transfers

We may share certain personal data with processors who handle it on our behalf (hosting, backup, email, audience measurement, chat). We ensure that they offer sufficient safeguards within the meaning of article 28 of the GDPR. Where such processing involves a transfer outside the European Union, it is governed by appropriate safeguards within the meaning of chapter V of the GDPR (adequacy decision, standard contractual clauses, or an equivalent mechanism). We may also disclose your personal data in response to a legal requirement (subpoena, public authorities) or where we believe in good faith that such action is necessary to protect our rights, interests, or the safety of individuals.

VIII. Data breach notifications

In the event of a breach of your personal data likely to create a risk to your rights and freedoms, we notify the CNIL without undue delay and, where possible, no later than 72 hours after becoming aware of it (art. 33 GDPR). Where the breach is likely to create a high risk to your rights and freedoms, we also inform you without undue delay (art. 34 GDPR).

IX. Your rights

In accordance with the GDPR, you have the following rights over your personal data:

  • Access (art. 15), rectification (art. 16), erasure (art. 17), restriction (art. 18), portability (art. 20), objection (art. 21), in particular to commercial prospecting.
  • Withdrawal of consent (art. 7): where processing is based on your consent (e.g., audience measurement cookies), you can withdraw it at any time, without affecting the lawfulness of processing carried out before that withdrawal.

These rights can be exercised with Digitevent (see the Contact section). Your request will be processed within one month.

You also have the right to lodge a complaint with the Commission Nationale de l'Informatique et des Libertés (CNIL, www.cnil.fr).

X. Changes to this policy

We reserve the right to update or amend this Policy at any time. Any change will be published on this page with an updated "Last updated" date. In the event of a substantial change affecting your rights, we will inform you through an appropriate means. Where a change concerns processing based on your consent, new consent will be collected if necessary.
