Since its founding, Nobel Biocare has developed technologies and solutions at the forefront of dental implantology research. Each innovation then needs to be communicated and explained to specialist practitioners. The stakes are therefore fundamental for the lab and for patients. For its various symposiums across Europe, Nobel Biocare entrusted Digitevent with the digital management of its check-in.
The initial challenges
- Importing data from the internal CRM,
- Check-in and badge printing at physician registration,
- Access control for conference sessions and issuance of attendance certificates,
- Tracking and collection of signatures at the various meals organized,
- Data synchronization with Salesforce after the event.
Importing data from the internal CRM
Nobel Biocare has an internal CRM where participants for the upcoming event are recorded. The attendance of the various physicians is the result of work by the lab's representatives, who are in daily contact with practitioners. With one click, an export from the CRM produces an Excel list of those expected at the event. The Nobel Biocare events team can then import the file into the Digitevent platform.
Check-in and badge printing at physician registration
On the day, 2 mini-printers and 4 tablets are set up at the registration desk of the prestigious Brussels hotel hosting the event. As each participant arrives, a badge is instantly printed. It includes the first name, last name, specialty, and a personalized QR code. Physicians are also asked to sign on the tablet to collect their signature for regulatory purposes. In real time, the organizing team and Nobel Biocare's event agency can see the number of arrivals at the event from their smartphones. Once the 200th attendee has arrived, the doors to the first conference session open.
Access control for conference sessions and issuance of attendance certificates
Physicians in attendance need a certificate of participation for each conference session and training workshop they attend. This allows them to validate training credits. To do this, at the entrance to each session, staff scan badges (using our ultra-fast 2D laser scanners). A PDF attendance certificate is then automatically sent to each physician, stating the date, time, and name of the training session attended.
Tracking and collection of signatures at the various meals organized
For ethical and regulatory reasons, Nobel Biocare must keep proof of the benefits granted to professionals attending the event. This is why the same scanning system set up at the entrance to conference sessions is also used at the entrance to lunches and dinner. Thanks to the scanned badges, Nobel Biocare obtains a summary PDF file of those present at each meal. This file takes the form of an attendance sheet with handwritten signatures recorded via the tablets at the event's registration desk. The scan time is also shown on these digital sheets.
Data synchronization with Salesforce after the event
The event is over, and it was a success. The Nobel Biocare teams use the "DIGITEVENT SYNC" button set up on their Salesforce CRM. With one click, all participants who attended the event are marked as present in Salesforce's Pardot campaign. This automation was set up at the start of the partnership and allows the various business tools to communicate with each other. As a result, Nobel Biocare keeps its CRM data up to date and is able to optimize its next marketing actions.
